Answered hours later, enrolled somewhere else
An inquiry that waits until Monday is an inquiry that has already read three competitors. The window where a prospect is willing to be advised is measured in minutes.
An AI admissions layer for academies
CohortPilot answers every program question, places every prospect into the right level, and follows up until they enrol. Built for academies where enrolment is a considered decision, not an impulse buy.
The demo is a working product, not a video. Talk to the assistant as a real applicant would, then open the console and watch yourself arrive in the pipeline.
Admissions assistant
Meridian Finance Academy
Hello. I am the admissions assistant for Meridian Finance Academy, and my job is to work out which of our programs actually fits you, not to sell you the most expensive one.
To start: what do you do at the moment?
I am a relationship manager at a private bank
Good to know. How many years have you been working in relationship management?
5 years
Last one, and it is the one that decides the level: what is the certification for? A promotion, a move into a different kind of work, or something your employer or the regulator expects?
I want to move into private banking
Placement decision
Recommended: CPWA Level 2, Applied Wealth Advisory Part of Certified Private Wealth Advisor
With 5 years of experience in relationship management and a goal of moving into private banking, CPWA Level 2 is the right entry point. CPWA Level 1 would largely repeat ground you already cover day to day. CPWA Level 3 assumes a senior client book you have not built yet, so it would be a hard start.
What it involves
What it expects from you
Do you guarantee a placement afterwards?
Honest refusal, captured as a lead signal
That is not something the academy has published, and I will not guess at it. I have logged the question and flagged it for the admissions team, who can give you a proper answer on admissions@meridian-academy.demo.
Is there anything about the programs themselves I can help with in the meantime?

An inquiry that waits until Monday is an inquiry that has already read three competitors. The window where a prospect is willing to be advised is measured in minutes.
Counselors spend their week explaining the same programme structure to people who will never enrol, and have no time left for the ones who would.
Someone opens the form, gets interrupted, and is never followed up. Nobody knows they exist, so nobody brings them back.
The placement conversation
Two or three qualifying questions, one at a time. Then a specific program and level, with the reasoning shown: why this one, why not the level below, why not the level above. Everything after that is grounded in the catalogue or refused.
Qualify
Current role, years of experience, and what the certification is actually for.
Place
A structured decision with a confidence score, red flags and the alternatives it considered.
Ground
Follow up answers come from the catalogue, with the source passage attached.
Convert
A pre filled application, a booked call, or the guide by email.
Record
A scored, summarised lead in the pipeline, with everything the assistant promised.

The console
These are screenshots of the running product, taken from the demo academy. Open the console yourself with the credentials below and every one of them is live.

Seven stages from first inquiry to enrolled. Cards carry the placement, the fit and intent scores and what the prospect hesitated about. Drag to move a stage, and the automation follows: moving past an application cancels its recovery emails.

The summary a counselor reads before calling, the two scores with their one line rationales, the placement reasoning with its red flags, and the full transcript with the catalogue passage behind every answer.

Visitors to conversations to placements to applications to enrolments, with the drop at each step. Beside it, the report that academies find most valuable: every question the catalogue could not answer, ranked by how often it was asked.
How it learns your catalogue
The catalogue is data, not content baked into the product. That is what makes a sandbox for your academy a same day job rather than an implementation project.
Public URLs, up to six at a time. The importer reads them, strips the navigation and extracts programs, levels, fees, prerequisites and published answers.
Every field is editable before anything goes live, and the importer flags what it could not infer, especially the placement signals that decide level recommendations.
A sandbox academy is created as a draft. Activate it, drop the widget on the site, and the assistant is answering from your catalogue and nothing else.
One deliberate friction: the importer never activates a catalogue on its own. Fees, prerequisites and who a level is for are not things to take on trust from a scraper, so everything is presented for correction first, with the fields it could not infer flagged.
Honesty by design
An admissions assistant that invents a fee or implies a job outcome is worse than no assistant at all. Six commitments, each enforced in the product rather than promised in the copy.
Program facts, fees, dates and prerequisites come from your configuration. When a question falls outside it, the assistant says so and offers a person, rather than producing something plausible.
Each reply carries the exact catalogue passages it was built from, visible to the visitor and to your team. Groundedness is something you can check, not something you have to believe.
Each refusal is logged and ranked by frequency, so the questions your catalogue cannot answer arrive as a prioritised list instead of disappearing.
Sequences draft from the real conversation and hold for approval by default. Unsubscribes are honoured immediately, and no message ever claims a deadline you did not set.
No job guarantees, no salary claims, no exam pass rates, no attacks on other institutions. The assistant advises on fit, including when the honest answer is that there is none.
A prospect whose goal no program serves is told plainly, and still captured for a human to help. A wrong enrolment costs more than a lost one.
The demo academy is fully working. Have the conversation, start an application, then sign into the console and find your own record with its transcript, scores and drafted follow up.
